The Registry Engagement Associate will oversee the recruitment of hospitals, private practice groups, and/or ambulatory surgery centers (ASC) for Registry Program participation.  Candidate will be the primary contact for Registry Program communication with hospital/ASC staff for their vertical market. This position requires a high degree of flexibility, the ability to multi-task and prioritize, maturity, attention-to-detail, accuracy, and the ability to work closely with Registry Program staff, leadership and stakeholders. This position will pay $20+/hr DOE and is located in Rosemont, IL.

Duties include:

  • Develop and maintain relationships with a network of participating data collection sites
  • Assists with recruitment tracking process, communication, and reporting.
  • Able to utilize Excel and Salesforce software to track progress of recruitment effort
  • Works as part of a recruitment team to achieve overall goals of organization; focusing on vertical or special projects, as assigned
  • Generates, cultivates, and maintains leads and converts interested sites into participation in the Registry Program
  • Walks users through the Registry Program pre-contracting stage, which includes having introductory participation calls, conducting webinars, and managing the contract negotiations
  • Review and negotiate upon proposed legal changes and communicate with paralegal and/or external legal counsel when necessary
  • Attend professional tradeshows/annual meetings as assigned to work booth, meet with members, and recruit stakeholders
  • Work with Registry Program leadership and team to analyze and report on recruitment efforts
  • Contribute to and facilitate documentation of engagement strategy for Registry Program, to include expanding the traditional and non-traditional stakeholders
  • Serve as a liaison to and support towards partnerships with specialty and sub-specialty societies
  • Work with Registry Program leadership to decipher where existing and future stakeholders may see current value or desire additional value; document and recommend Registry Program improvements based on insights gathered by stakeholder engagement
  • Create special reports for participating institutions through Salesforce system
  • Assists in the development of monthly reporting of key metrics and performance indicators
  • Maintains a high level of skill with all standard MS Office software and Salesforce Customer Relationship Management (CRM) software. Helps to set the standards of CRM system and add additional functionality to the process including e-mail drip campaigns and inbound marketing programs
  • Support efforts to educate various stakeholders, including surgeons, patients, orthopaedic industry, hospitals, payers, and government agencies about the Registry Program
  • Assist the Registry Program leadership with the maintenance of all required project and regulatory documentation and communication
  • Assist with process management of the entire recruiting process, ensuring contacts and contracts are maintained and entered into systems accurately
  • Become knowledgeable in initiatives that bring our program to institutions (i.e. Meaningful Use, PQRS, CJR, MOC, etc.)
  • Performs contract validating to ensure that all participating organizations are in compliance with regulatory rules   

Requirements:

  • Undergraduate degree in business, communications, public policy/administration, and/or another related area. 
  • 1-3 years of experience in a business environment focusing on engagement and customer service 
  • Proven experience managing complex projects from conception to conclusion including defining project objectives and deliverables
  • Proven strength in managing diverse relationships among colleagues, project partners, and stakeholders
  • Experience with proven communications and human relations skills and progressive levels of responsibility
  • Understanding of basic contract law
  • Outstanding oral and written communication, including strong presentation skills
  • Excellent human relations and analytical skills
  • Knowledge of HIPAA, PHI, IRB, and other relevant regulatory issues preferred
  • Familiarity with evidence-based medicine, health outcomes, health care quality standards, and performance improvement
  • Background in working with individuals/groups that require significant support through decision-making process
  • Experience with cultivating new relationships that produced signed business associate agreements
