SUMMARY

This position serves as the staff liaison to association chapters and branches (Chapters) to ensure compliance with financial and risk management policies and practices based on accounting and tax disclosures requirements applicable, as a not-for-profit 501(c)(3) charitable organization.

 

ESSENTIAL JOB FUNCTIONS

 

1.       Establishes and manages a system to ensure Chapter compliance with financial and risk management policies and practices; evaluates Chapter financial data for accuracy and completeness; and prepares the consolidated schedules for the annual audit of the financial statements, preparation of income tax returns and audits of general liability insurance, specific to chapters.  

 

2.       Advises Chapter Treasurers and Administrators on financial and risk management issues including financial reporting, tax compliance (unrelated business income) and insurance; facilitates web-based and face-to-face training associated with these areas of responsibility.  

 

3.       Reviews chapter contracts related to events and services utilizing Contracts Primer and other documents, tools or publications recognized as best practices or industry standards, as warranted.

 

4.       Coordinates and trains Chapters on the Microsoft Dynamics accounting software package along with the implementation for Chapters not currently using the system. Creates training and user guides and materials to assist with the volunteer’s responsibilities in relationship to providing reporting to the association.

 

5.       Prepares quarterly communications to Chapter Leaders, Regional Directors and Senior Management summarizing each Chapter’s compliance with financial reporting and risk management requirements including the approval of rebate payments to Chapters.

 

6.       Maintains the Chapter schedule of events and meetings for Chapters to ensure appropriate insurance coverage is secured; facilitates Certificate of Insurance requests and prepares schedules necessary for the annual audit of general liability insurance policy.  

 

7.       Prepares check requests related to “pass-through” funds (i.e. chapter dues, online credit card payments processed via the National website template and refunds); records pass-through activity in accounting software and reconciles related accounts.

 

8.       Performs accounting and finance-related tasks associated with deposits, disbursements, bank reconciliation and financial reporting; coordinates with staff outside of Chapter Relations and Finance, as warranted.  

 

EDUCATION AND EXPERIENCE – An equivalent combination of education, training and experience will be considered.

A minimum of a Bachelor’s degree in accounting with a minimum of three years related experience or an equivalent combination of education and experience. Experience with providing customer service to members strongly preferred.  Association experience a plus.

 

KNOWLEDGE, SKILLS AND ABILITIES which may be representative, but not all-inclusive of those commonly associated with this position.

Must have knowledge of general accounting principles along with financial chart of accounts and general ledger systems/procedures. Must have excellent verbal and written communications skills and be customer/member service oriented.  Must have strong computer skills using Office 2010 or higher and Microsoft Dynamics (Great Plains).  Must be organized, flexible, detail oriented and able to prioritize workload.

 

WORK ENVIRONMENT - Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.

·         Exposed to moderate noise levels typical in office environment

·         Must be able to travel 1-5 times per year which may include weekend travel

 Perm pay is 45-55k, depending on experience.
