Office Assistant

 Olathe equipment company is looking for office assistant to work 30 hours a week (11am to 5pm) with a definite potential for full time in the long term. The right person for this position must be a self starter, thick skinned and be able to work well in all male environment.

The four areas working in are listed below:

Reception:

 

  1. Answer phone
  2. Process incoming and outgoing mail
  3. Greet customers

 

Administration:

 

  1. Reconcile daily batch report
  2. Reconcile daily cash balancing report
  3. Maintain office supplies
  4. Maintain break room supplies
  5. Maintain cash drawer
  6. Compile weekly Fed Ex to Sullivan
  7. Scan and email daily paperwork to appropriate recipient in home office
  8. Maintain equipment manuals
  9. Compile payroll hours and email to Sullivan.
  10. Maintain record of sick hours and vacation hours used by each employee
  11. Fill out and replace monthly timecards for employees
  12. Work with Bank of the West auditor for quarterly equipment inventory audits

 

Service:

 

  1. Help process work orders as needed by the service managers
  2. Oversee electronic repairs for customers including shipping and billing
  3. Maintain electronic equipment inventory
  4. Process work orders as necessary including billing out customer, adding parts and mechanic hours to tickets in process

 

Sales:

 

  1. Process equipment invoices for salesman as requested for sales and rentals
  2. Follow up with customers regarding past due invoices
  3. Maintain product literature
  4. Compile monthly trailer sales and process report to State of Kansas
  5. Complete/transfer trailer titles for Kansas customers.
  6. Order electronic equipment
  7. File equipment invoices monthly

Skills needed are basic Word and Excel, Typing  Customer service, billing and invoicing experience.  Some light data entry.
