Legal Secretary / Executive Assistant ( Paralegal w/ Executive support exp. may be a good fit as well)

Engineering company providing services for law firms and insurance companies.

Duties to include, but not limited to:

  • Act as liaison between clients, engineers, attorneys, builders, homeowners, co-workers, and the like
  • Responsible for managing incoming and outgoing communications; critical that assistant know at all times the status of every file so can convey messages to parties, and keep the jobs moving forward
  • Tracking all active jobs ensuring they are being handled efficiently, timely and appropriately
  • An ability to focus and produce an excellent work product within strict time constraints in an environment that can get very busy, loud, and disruptive
  • Answering phones that sometimes get very busy; troubleshoot phone issues (can be delegated)
  • Timely printing, reviewing, and responding to voluminous emails for busy engineer who acts as expert witness (can be delegated)
  • Downloading, reviewing and organizing tens of thousands of pleadings and job related documents via CD, DVD, thumb drives, and the like (can be delegated)
  • Extensive calendaring and coordinating of site visits, evidence and lab examinations, depositions, trials, meetings, etc.  Ensure that no matter how many deadlines need to be met, the engineer has office time scheduled so can complete reports 
  • Making travel arrangements and coordinating people, places and things so that the senior engineer gets to the right place at the right time with the right things
  • Manage photographs using Zoner software (can be delegated)
  • Transcribe photograph logs using Sony Digital Voice Editor (can be delegated)
  • Produce top-notch expert reports with a high degree of accuracy within very strict time constraints
  • Prepare and organize exhibits to expert reports within very strict time constraints
  • Prepare and track retainer agreements and new assignments
  • Opening and tracking new files and keeping them organized
  • Tracking closed files
  • Update CVs, Rate Sheets, Trial Testimony Lists (can be delegated)
  • Extensive research to include maps, assessor records, product information, and historical, engineering, construction and legal data
  • Provide support to other engineers in the office on an as-needed basis

 

 

 

A background in the legal, engineering, and/or construction field is important; familiarity with construction and engineering terminology would be very helpful.  To succeed in this position, you will need to possess a positive attitude, great customer service skills, and have the ability to manage and organize a high volume of information and communications.

  • Ability to juggle multiple tasks with frequent interruptions and changes in direction
